We are seeking a self-driven, highly organized, and proactive Executive Assistant, An energetic, bright, and motivated individual with a history of high performance to support two Country Directors (DE & CEE) of the One PXT Team within the Amazon Operation organization.

This role requires superior attention to details, great organization skills, and the ability to work independently on assignments with sound judgment. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals are essential. A proven track-record in working across multiple time-zones at scale is a necessary trait. A good sense of humor is critical, as is the ability to be flexible, and to change direction at a moment’s notice.

The successful candidate will possess the ability to complete complex tasks quickly with little to no guidance. It will be necessary to react with appropriate urgency to situations that require a quick turnaround, be able to take effective action without having the full picture, and efficiently and proactively solve difficult or complex problems that affect people within the department or other related groups.

Based in Germany, responsibilities for this position include the ability to think and plan ahead, delegate responsibilities appropriately, and manage time effectively, as well as on occasion, cover other assistants within the International organization during absence.

Key job responsibilities

• Proactively manage complex calendar and scheduling requirements at an efficiency which isn’t hindered by frequently changing plans and priorities

• Schedule both frugal and efficient travel schedules. Create detailed itineraries across multiple continents and time zones

• File and track extensive expense reports

• Manage and process mail and correspondence as required

• Organize both team and large scale events from end to end

• Act as editor/contributor for team SharePoint sites and Wiki pages

• Coordinate closely with the EU OPXT EAs Team and other Executive Assistants globally in organizing team activities (including Team Meetings, Social Events, All Meetings, on-sites/off-sites and other key logistical projects that can be in person or virtual)

• Ensure accurate archiving of departmental data

• Organize, prioritize and appropriately handle time-sensitive, confidential information and ensure action required is addressed in a timely manner

• Have a high level of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company

Basic Qualifications

• Advanced level English

• Experience as an Executive Assistant at Director level or relevant administrative experience for a minimum of 3 years

• Ability to work efficiently and accurately when under pressure and at scale

• Excellent organizational, planning, prioritization skills and attention to detail

• Knowledge of Outlook (Advanced), Word (Advanced), PowerPoint (Intermediate), Excel (Intermediate) with a demonstrated ability to pick up new tools quickly

• Passionate about implementing processes that increase productivity and minimize churn and wants to develop PROJECT MANAGEMENT skills

• EU citizenship or permanent residency required

Preferred Qualifications

• Extensive experience of complex diary management and arranging cross-continental travel and conference calls

• Strong track record being a team player within a large scale rapid and process-driven environment

• Strong ability to operate in a fast-paced / Global environment and deal with ambiguity.

• Excellent communication (written and verbal) and interpersonal skills

• Ability to complete a high volume of tasks with minimal direction

• Available to occasionally travel (domestic/international)

• Intermediate level German and/or Polish/Czech/Turkish
